Production has a number. Finance has a number. Procurement has a number. They are all excellent numbers. They are just not the same number, and the meeting to decide which one is right is booked for two hours.
In many mining businesses, month-end follows a familiar ritual. Skilled people spend days pulling figures out of the ERP, production reports, contractor sheets and spreadsheets. The figures don’t quite agree, so more time goes into reconciling them. By the time the management pack reaches the executive team, the month is long over and the discussion is about which number is right rather than what to do next.
If your month-end needs a mediator, the problem isn’t the people. It’s the definitions.
Everyone is right, which is the problem
Most reporting delays come from small differences in definitions. Production counts tonnes at the crusher while finance uses tonnes sold. One site includes contractor costs in its cost centre, another books them centrally. A project margin depends on which overheads you allocate. Every report is correct on its own terms. Together, they are a puzzle.
What good looks like
- One agreed data model: a single definition of tonnes, costs, margins and KPIs that every report uses.
- Automated refreshes from source systems, daily or weekly, instead of export, copy, paste, repeat.
- Margin per project, contract or site during the month, not only after close, when it is too late to do anything but sigh.
- Forecasts that update as actuals arrive, so the conversation moves from explaining variance to acting on it.
Where to start
List every report in your monthly pack: who builds it, how long it takes and which systems it draws on. That list is your automation plan. Start with the report that takes the most hours, or causes the most arguments (it is often the same one). Agree its definitions with finance and operations together, then automate that one first.
How you’ll know it worked
- Days from month-end to a signed-off pack.
- Hours spent on manual consolidation each month.
- Number of reconciling differences between reports.
- Forecast accuracy against actuals.
- Bonus measure: how much shorter the month-end meeting gets.
